Booking Terms & Conditions
Last updated: 22 Aug 2026
1. Contract and acceptance
These Booking Terms & Conditions (the "Terms") govern bookings made with Global Travel Experience LLC, a Wyoming limited liability company ("Global Travel Experience," "we," "us," or "our"). By submitting a booking request, making payment, accepting a booking confirmation, or participating in a trip, you confirm that you have read, understood, and accepted these Terms, the applicable itinerary, inclusions, special conditions, and any promotional terms. Together, those documents form the agreement between you and us.
The booking becomes confirmed only when we accept it, receive the required payment, and receive the traveller information reasonably required to operate the trip. If we do not accept a booking, any payment received will be refunded, subject to applicable law.
2. Bookings made for other travellers
The person making a booking for other travellers is the primary contact and confirms that they are authorised to provide their information, accept these Terms, and communicate amendments or cancellations on behalf of the named travellers. The primary contact must ensure that each traveller receives these Terms and the relevant trip information. A traveller may notify us in writing if the primary contact is no longer authorised to act for them.
3. Services and third-party suppliers
We arrange organised group travel experiences and may use independent hotels, transport providers, rail operators, guides, activity providers, restaurants, photographers, production companies, and other suppliers. We select and coordinate suppliers with reasonable care, but we do not own or directly operate every service in the itinerary. Supplier services may be subject to their own terms, safety rules, waivers, and local laws.
4. Booking and payment
Full payment of the total trip price is due at the time of booking unless we agree otherwise in writing. Prices are displayed in the stated currency. Bank charges, foreign-exchange charges, card-issuer fees, and other third-party transaction costs are the traveller's responsibility.
A booking is not confirmed until full payment, acceptance by us, and all required traveller information have been received. We may refuse or cancel a booking where required information is incomplete or inaccurate.
5. Traveller information and privacy
Travellers must provide accurate information, including legal name as shown on the passport, date of birth, nationality, contact details, passport details, emergency contact, insurance details, arrival and departure information, dietary requirements, accessibility requirements, and relevant medical information. Additional costs caused by incorrect or late information may be charged to the traveller.
Personal information, including photographs and videos in which a traveller is identifiable, will be processed in accordance with our Privacy Policy. Where a person provides information about another traveller, they confirm that they are authorised to do so and will inform that traveller about the Privacy Policy.
6. Cancellation by the traveller
Cancellation requests must be submitted in writing through our official email address or another officially designated channel. The following policy applies:
More than 14 full calendar days before the Trip Start Date: 100% of the amount paid will be refunded.
14 calendar days or fewer before the Trip Start Date: 50% of the amount paid will be refunded.
After the Trip Start Date or in the event of a no-show: no refund will be provided.
Refunds will normally be made to the original payment method, less any third-party transaction, banking, or currency-conversion fees that cannot reasonably be recovered. If a traveller leaves after the trip begins, unused services are not refundable unless required by law.
7. Cancellation by us
We may cancel a trip for operational, safety, supplier, logistical, minimum-participation, or other reasonable business reasons. If we cancel before the trip begins for reasons within our reasonable control, the traveller may choose between a full refund of amounts paid to us for the cancelled trip or transfer of those amounts to another available trip or departure date.
We are not responsible for independently booked flights, visas, insurance, vaccinations, accommodation, or other arrangements not purchased directly from us, except where applicable law requires otherwise.
8. Force majeure
Force majeure includes events beyond reasonable control, including natural disasters, severe weather, war, terrorism, civil unrest, epidemic or pandemic, border closure, government action, strike, cyber incident, transportation disruption, supplier failure, fire, flood, or other extraordinary events.
If force majeure makes a trip impossible, unsafe, or materially impractical, we may modify, postpone, cancel, or replace the trip, or offer a travel credit or refund to the extent amounts are recoverable from suppliers and required by law. If the trip has started, any credit or refund will normally relate only to the unused portion. Non-refundable supplier amounts may not be recoverable. Neither party may claim damages for losses caused solely by force majeure, except for rights that cannot legally be excluded.
Any credit terms, including expiry, transferability, and cash redemption, will be stated when the credit is issued.
9. Changes and transfers
We may make reasonable changes to hotels, transport, activities, routes, guides, schedules, or other services because of local conditions, safety, weather, government requirements, supplier availability, or events outside our control. Minor changes do not automatically create a refund right. For a material change before departure, we will make reasonable efforts to notify affected travellers and may offer acceptance, an alternative arrangement, or a refund of the affected land services where appropriate.
A booking transfer, name change, or transfer to another traveller is permitted only when operationally possible and may be subject to supplier charges and an administration fee. The replacement traveller must satisfy all trip requirements. We may refuse changes that cannot reasonably be completed.
10. Inclusions and exclusions
The trip price includes only the accommodation, transport, meals, activities, guide or group-leader services, and other items expressly identified as included in the itinerary or booking confirmation.
Unless expressly included, the price excludes international or domestic flights, airport transfers, visa and passport fees, travel insurance, personal expenses, optional activities, additional meals, additional accommodation, vaccinations, medical costs, excess baggage, and other services not expressly listed as included.
11. Passports, visas, and entry requirements
Each traveller is responsible for holding a valid passport, obtaining visas and permits, satisfying immigration and health requirements, and complying with entry rules. The passport should be valid for the period required by the destination authorities and, where applicable, for at least six months after the last travel date. Visa or entry assistance is general information only and is not a guarantee of approval. Failure to meet entry requirements remains subject to the traveller cancellation policy.
12. Travel insurance
Travel insurance is mandatory. It must reasonably cover personal accident, death, medical expenses, emergency evacuation, and emergency repatriation. We strongly recommend cover for cancellation, interruption, baggage, personal belongings, and personal liability.
We may request evidence of insurance, the policy number, and a 24-hour emergency contact before departure or at the start of the trip. A traveller who cannot provide required evidence may be denied participation without a refund, subject to applicable law.
13. Age, health, and accessibility
Travellers aged 18 or over may book independently, subject to trip requirements. Travellers under 18 must travel with a parent, legal guardian, or authorised adult and may require additional documentation. A parent or guardian remains responsible for the minor's conduct, costs, and compliance with these Terms.
Travellers must assess their fitness to participate and must disclose relevant medical, accessibility, allergy, or dietary requirements before departure. We may request a medical assessment where reasonably necessary. We do not provide medical advice and cannot guarantee that every supplier can accommodate every requirement. If a traveller is unable to participate safely or requires assistance we cannot reasonably provide, we may refuse or cancel participation, subject to applicable law and the applicable refund policy.
14. Additional waivers and activities
Certain activities or suppliers may require a separate waiver, release, or acknowledgement. Refusal to sign a legally required and reasonably disclosed waiver may result in refusal of the relevant activity or trip participation, without refund for the affected service, subject to applicable law.
Optional activities not included in the itinerary are separate arrangements with the activity provider. Any recommendation or assistance from our staff does not make us responsible for the optional activity beyond obligations that cannot legally be excluded.
15. Conduct and removal
Travellers must comply with applicable laws, local customs, safety instructions, and reasonable directions from our staff, guides, and suppliers. We may remove a traveller from a trip, at the traveller's own cost and without refund for unused services, if their conduct is illegal, unsafe, threatening, seriously disruptive, discriminatory, abusive, or materially affects other travellers or our ability to operate the trip. We may refuse future bookings where reasonably justified.
16. Personal belongings and inherent risks
Travellers are responsible for passports, luggage, money, electronics, and personal belongings. Travel may involve ordinary and unusual risks relating to transport, terrain, weather, remoteness, activities, cultural differences, and delays. Travellers consent to reasonable first aid, medical assistance, or evacuation arrangements where they are unable to arrange them themselves and agree to reimburse costs properly incurred on their behalf, subject to applicable law. Seatbelts and safety equipment must be used whenever required.
17. Photography, video, and media consent
The trip may include photography and video recording by us, our staff, contracted photographers, production companies, or suppliers. Travellers may appear incidentally or in group images. This operational notice is part of the booking information, and the processing of such material is subject to our Privacy Policy.
Separate optional consent may be requested for using identifiable photographs, videos, voice recordings, or testimonials for marketing, advertising, websites, social media, brochures, presentations, or other promotional purposes. Marketing consent is voluntary and is not a condition of booking. Where reasonably practicable, travellers who do not consent may notify us before departure and we will take reasonable steps to avoid or blur identifiable use in future materials. We cannot guarantee removal from materials already published or copied by third parties.
For travellers under 18, consent must be provided by a parent or legal guardian. Consent records will be maintained in a form that can be verified later, and consent may be withdrawn for future processing through the contact details below.
18. Complaints
A problem during the trip should be reported promptly to the trip leader, local operator, or us so that we have a reasonable opportunity to address it. Any unresolved complaint should be submitted in writing within 30 days after the end of the trip to:
Email: [email protected]
19. Liability and third-party suppliers
To the fullest extent permitted by applicable law, we are not liable for indirect, incidental, special, or consequential loss caused by circumstances outside our reasonable control or by independent suppliers. We do not exclude or limit liability that cannot legally be excluded or limited, including mandatory consumer rights, fraud, or liability for personal injury or death where such exclusion is prohibited.
Our responsibility for third-party suppliers is to select and coordinate them with reasonable care. Disputes about a supplier's separate service may also be subject to that supplier's terms and should be addressed with the relevant supplier, without limiting any non-waivable rights against us.
20. Governing law and severability
These Terms are governed by the laws of the State of Wyoming, United States, without regard to conflict-of-law principles, except to the extent mandatory consumer or privacy laws apply. Any dispute will be subject to a court of competent jurisdiction. If any provision is invalid or unenforceable, it will be modified or severed only to the extent necessary, and the remaining provisions will continue in effect.
21. Changes to these Terms
We may update these Terms from time to time. The version accepted when the booking was made will generally apply to that booking, unless a change is required by law or agreed with the traveller. Special conditions and promotional terms may apply to particular trips and will prevail over these Terms to the extent of any inconsistency.
