1. About this Policy
Global Travel Experience LLC ("Global Travel Experience," "we," "us," or "our") takes privacy and data protection seriously. This Privacy Policy explains how we collect, use, disclose, store, and protect personal data when you visit our websites, contact us, make a booking, participate in a trip, interact with our marketing, work with us as a supplier or partner, or apply for a role with us.
This Policy applies to personal data processed by or for Global Travel Experience, including data collected through our website, booking forms, email, telephone, WhatsApp or other communication channels, third-party booking platforms, and our travel operations. We may update this Policy from time to time. The version applicable to a particular interaction will normally be the version available when the data was collected, unless a change is required by law.
2. Who is responsible for your data?
Global Travel Experience LLC is the controller of personal data processed for its own booking, customer-service, marketing, operational, supplier, partner, and recruitment purposes. Some service providers process data on our behalf and may be processors or independent controllers under applicable law.

We may receive information from the person who made a booking for you, family or group members, travel agents, booking platforms, hotels, transport providers, activity providers, insurers, government authorities, and other service providers.
4. Personal data about other people
If you give us information about another traveller, emergency contact, family member, employee, or other person, you must ensure that you are authorised to provide it and that the person has been informed about this Policy where required. We may contact an emergency contact to verify their identity or authority where reasonably necessary.
5. Why we use personal data
We use personal data to:
respond to enquiries and provide, administer, and improve bookings, trips, accommodation, transport, activities, and related services;
communicate booking confirmations, itinerary updates, operational notices, safety information, and emergency messages;
verify identity, passports, visas, insurance, eligibility, health, accessibility, and other travel requirements;
process payments, refunds, accounting, fraud prevention, and chargeback management through Stripe and relevant financial institutions;
coordinate with hotels, transport companies, guides, activity providers, photographers, production companies, insurers, visa providers, and other travel suppliers;
manage complaints, incidents, disputes, claims, and customer support;
send newsletters, promotions, offers, and other direct marketing where permitted and where required consent has been obtained;
conduct surveys, research, analytics, service improvement, and aggregated reporting;
operate, secure, troubleshoot, and improve our websites, systems, communications, and customer experience;
comply with laws, court orders, government requests, tax and accounting obligations, and regulatory requirements;
protect the health, safety, rights, and property of travellers, staff, suppliers, and other persons;
manage supplier, partner, contractor, and employment relationships; and
evaluate or use automated or AI-enabled tools in the future for customer support, booking administration, analytics, or operational efficiency, subject to applicable law and appropriate notices.
6. Legal grounds and consent
Depending on the purpose and applicable law, we may process personal data because it is necessary to perform or take steps toward a contract, comply with a legal obligation, protect vital interests, pursue a legitimate business purpose that does not override your rights, or because you have provided consent.
Where consent is required, we will explain the purpose before collecting it. Consent for direct marketing, marketing messages, and promotional use of identifiable photographs or videos will be separate from consent required to make or operate a booking. You may withdraw consent for future processing through the contact details below. Withdrawal does not affect processing already carried out lawfully before withdrawal and may not remove material already published or required to be retained by law.
7. Required and optional data
Providing some data is voluntary. However, we may be unable to accept or operate a booking if we do not receive information necessary for identification, payment, accommodation, transport, visas, insurance, safety, or legal compliance. Marketing subscriptions, surveys, promotional photography, and optional preferences are not conditions of purchasing a trip.
8. Photography, video, and media
Photography and video may take place during trips by us, our staff, contracted photographers, production companies, suppliers, or other travellers. You may appear incidentally or in group images. We will provide reasonable notice where professional photography is planned.
We will request separate optional consent before using identifiable images, video, voice, or testimonials for advertising, websites, social media, brochures, presentations, or other promotional purposes. If you do not consent, you may notify the trip leader or us before or during the trip, and we will take reasonable steps to avoid or blur identifiable use in future materials where practicable. We cannot control images taken independently by other travellers and cannot guarantee removal from content already published or copied by third parties.
For a person under 18, consent for promotional use must be provided by a parent or legal guardian.
9. Direct marketing and communications
We may send operational communications needed for your booking without relying on marketing consent. We will send promotional email, SMS, WhatsApp, or similar marketing communications only where permitted by applicable law and, where required, after obtaining your consent.
You may unsubscribe from email marketing using the unsubscribe link, reply "STOP" to an SMS where supported, change your communication preferences, or contact us. You may still receive essential service, safety, transactional, or booking communications.
10. Cookies, analytics, and advertising
Our website may use cookies, pixels, SDKs, log files, and similar technologies to keep the website working, remember preferences, understand usage, measure campaigns, improve services, and provide relevant advertising. We may use analytics and advertising providers, including Google Analytics or Meta Pixel where enabled. You can control cookies through your browser or any consent-management tool we make available. Disabling certain cookies may affect website functionality.
11. Who we share data with
We may disclose personal data, limited to what is reasonably necessary, to:
our employees, trip leaders, guides, local operators, contractors, and related service teams;
hotels, airlines, transport providers, rail operators, restaurants, activity providers, insurers, visa providers, and other travel suppliers;
photographers, videographers, production companies, and media-service providers where relevant and authorised;
Stripe, banks, payment processors, accounting providers, and fraud-prevention services;
Google Workspace and other hosting, email, storage, IT, backup, security, communications, analytics, and support providers;
website, advertising, research, survey, and marketing providers;
professional advisers, auditors, insurers, lawyers, and debt-recovery or dispute-resolution providers;
government authorities, border or immigration authorities, courts, regulators, and law-enforcement bodies where required or permitted by law; and
a purchaser, successor, or transaction partner if our business or assets are reorganised, sold, financed, or transferred.
We do not sell personal data. Service providers are expected to use personal data only for the agreed service, maintain confidentiality, and apply reasonable security measures. Third-party providers may have their own privacy notices, and you should review them where relevant.
12. Payment services
Payments may be processed through Stripe or another payment interface selected by us. Stripe may collect and process card and payment information under its own privacy terms and security controls. We generally receive transaction status, payment identifiers, billing information, and refund information rather than the full card number or security code. Do not send full payment-card details by email, WhatsApp, or ordinary written messages.
13. Future AI-enabled services
We may introduce AI-enabled chat, booking, support, fraud-prevention, analytics, or workflow tools. If such a tool is enabled, it may process information you provide through the tool or relevant booking and interaction records on our behalf. We will provide appropriate notices, limit access to what is necessary, require contractual safeguards from providers where applicable, and provide a human contact route for important booking or privacy matters.
14. International and cross-border transfers
Because Global Travel Experience is established in Wyoming and uses international travel suppliers and technology providers, personal data may be accessed, stored, or processed outside Saudi Arabia, including in the United States or other countries where our providers operate. We will limit transfers to what is necessary, use appropriate contractual, organisational, and technical safeguards, and comply with applicable Saudi requirements for cross-border transfers. You may contact us for further information about relevant safeguards where permitted by law.
15. Retention
We retain personal data only for as long as reasonably necessary for the purposes described in this Policy, including operating bookings, meeting legal, tax, accounting, insurance, dispute, safety, and reporting obligations, and establishing or defending legal claims. Retention periods may differ by data category. When data is no longer needed, we will delete, anonymise, or securely dispose of it where reasonably practicable and legally permitted.
16. Security and data incidents
We use reasonable physical, technical, and organisational safeguards to protect personal data from unauthorised access, loss, misuse, alteration, disclosure, or destruction. No online transmission or storage system is completely secure. We maintain procedures for suspected or actual data incidents and will notify affected persons or authorities where required by applicable law.
17. Your rights
Subject to applicable law and exemptions, you may request access to personal data we hold about you, a clear copy of it, correction or completion of inaccurate data, deletion where no longer needed, restriction or cessation of processing in appropriate circumstances, withdrawal of consent, and information about disclosures or cross-border transfers. You may also object to marketing and request review of certain automated decisions where applicable.
We may verify your identity before responding. We will respond within the period required by applicable law and explain any lawful refusal or limitation. Requests should be sent to the Privacy Contact above.
18. Children and minors
Our services may involve travellers under 18. Where required, we will obtain information and consent from a parent or legal guardian. We do not knowingly use a minor's identifiable image or personal data for promotional purposes without the required consent. Parents or guardians may contact us about a minor's data or withdraw promotional consent.
19. Third-party websites and services
Our website, emails, social pages, and communications may contain links, widgets, payment interfaces, maps, social-media features, or other services operated by third parties. Their practices are governed by their own notices, not this Policy. We encourage you to review those notices before submitting personal data.
20. Complaints and contact
Please contact us first with any privacy question, request, or complaint. We will investigate and respond within a reasonable time and in accordance with applicable law. You may also contact the competent privacy regulator where permitted.
